An n8n consultant in the Netherlands is the person who ships one workflow on your n8n: the trigger, the system of record, and a handover. For a 5–20 person team that is usually lead routing, a Telegram bot, or the few Zapier tasks that have turned into a bill. I do this in English, remotely. I do not have an office in Amsterdam.
Teams search this because Zapier, Make, or a pile of manual copy-paste is doing a job that should be one flow. The Netherlands part matters for two practical reasons. The working language of the tools is English, and the server region is a choice you can put in the EU. It does not mean I sell a local retainer with a Dutch address.
What I actually build
The first conversation is one paragraph: what starts the work, which system is allowed to be right, and what “done” looks like in the chat or the CRM. If that paragraph needs three products and a new CRM, this is the wrong page. That scope is the HubSpot alternative for a small team, after you run the SaaS cost calculator.
A normal n8n engagement for a small European team is one of these:
- A Telegram bot that creates presentations automatically from a voice note. Audio in, structured slides out, links back in the same chat.
- Lead routing from a form into SuiteCRM, with a human step before anyone is marked qualified. Automation that qualifies a lead by itself is how you fill a pipeline with noise.
- Replacing a handful of Zapier tasks that move the same record between mail, CRM, and files. The win is one place to see the failure, not a new logo.
n8n, Zapier, and Make for a 10-person team
People compare the tools as if the logo was the decision. For a small team the decision is volume, ownership, and who fixes it on a Tuesday.
| n8n on your server | Zapier or Make | |
|---|---|---|
| Bill | Hosting and the time to build. No per-task price from the tool vendor. | A monthly plan that grows with tasks or operations. |
| Data | Runs where you place the server. | Runs in the vendor’s cloud. |
| Right when | The flow is important, repeats, and someone can own n8n. | Volume is low and you want zero hosting. |
| Wrong when | You want a consultant to babysit a flow you will never open. | The task bill is already larger than a small server and the flow is business-critical. |
I will tell you to stay on Zapier when that table says so. A migration that saves twenty euros and adds a server nobody watches is a worse system.
How a Netherlands engagement runs
There is no discovery theatre. The steps are short because the workflow is one job.
| Step | What you get | What you still own |
|---|---|---|
| 1. The job in one paragraph | Trigger, system of record, and the definition of done. | The decision that this is the job, not a second one hiding behind it. |
| 2. The workflow on your n8n | A flow you can open. Credentials are created in your accounts. | The n8n instance, the API keys, and the customer data. I do not keep a copy. |
| 3. Handover | What to click when a run fails, and what I refused to automate. | The person who will look at it next month. |
If you do not already run n8n, hosting is part of the scope. For a European team I will ask where the server should sit before anything is installed. “Somewhere in the EU” is a real answer. “I assumed it was in Amsterdam” is not.
GDPR, credentials, and what I will not automate
Customer records, voice notes, and invoices are personal data the moment they name a person. The practical controls are boring and they are the work: the flow runs on your n8n, secrets stay in your credential store, and a failed run does not email the whole payload to a personal inbox.
I will not automate a step that invents a price, a medical conclusion, or a “qualified lead” with no human look. The Telegram presentation bot is a formatting workflow. It is not a clinician. Lead routing can file a record and notify a person. It should not close the deal.
If the real pressure is Google Workspace, HubSpot, Mailchimp, Dropbox, and Zapier together, stop on this page and open self-hosted CRM for an EU team. n8n is one piece of that stack. Hiring me to glue five seat products together forever is how the bill survives with extra steps.
What this costs, without a fake rate card
I do not publish a euro price for “an n8n consultant” because the number depends on the workflow, not on the country label. A voice-to-slides bot is a different size from a CRM routing flow with three systems and a human approval. You get a scope after the one-paragraph job description, not a seat price pretending to be a project.
What I can say about shape: you are not buying a per-user n8n license from me. You are buying the build and the handover. Hosting, if you need a new server, is a separate line and it is quoted after we know the region. Compare that with your current Zapier invoice yourself. If the Zapier invoice is small, stay.
Who this is for, and who should write to someone else
This fits an owner or operator in a 5–20 person company in the Netherlands or elsewhere in Europe who can name the workflow. You do not need a Dutch entity for me to take the work. You do need someone on your side who will open n8n after I leave.
This does not fit a team that wants a staffed helpdesk, a Dutch-language change programme, or a promise that AI will run the company. It also does not fit a one-person experiment that changes shape every week. I would rather decline that than leave you a flow that matches last Tuesday.
Frequently asked questions
Do you work as an n8n consultant for teams in the Netherlands?
Yes. The work is in English and remote. I am based in Apeldoorn, Gelderland, and can visit clients in person in the region. You keep the n8n instance and the credentials.
When should a small team use n8n instead of Zapier?
Use n8n when the same task runs often enough that Zapier tasks are a monthly bill, or when the data should stay on a server you control. Stay on Zapier when the volume is low and nobody wants to host anything.
Can you build a Telegram bot that creates presentations?
Yes. That is a custom n8n workflow: a Telegram voice note is transcribed, structured, and returned as a PowerPoint link. It is separate from the packaged Mailcow and SuiteCRM stack.
Does an n8n project replace HubSpot?
No. One workflow does not replace a CRM. Replacing HubSpot seats is a different scope, priced from the SaaS cost calculator and described on the HubSpot alternative page.
Where does the workflow run for a European team?
On the n8n you already run, or on a server we place in the region you choose. EU hosting is a scope decision. I do not claim the server is in the Netherlands unless you put it there.
